Tags

Tasks can be tagged with colored labels for quick visual identification. Add tags when creating or editing a task using the tag input. Tags are per-project - type to search existing tags or create new ones. Edit tag colors from the tag dropdown.

Task Markdown Documents

Each task can have a long-form markdown document for research notes, technical documentation, or solution designs. Open it from the task detail panel. The full-page editor supports standard markdown formatting. Pro users can use AI to generate or enhance markdown content. Over MCP, the karea_get_markdown action (in karea_read) and the karea_set_markdown action (in karea_notes_write) read and write it.

Wiki-style references ([[…]])

Inside any markdown body (task markdown, notes, resource content) you can link to another record with [[…]]. The link renders as a small clickable chip in the preview.

  • [[KPL123]] - link to a task by its visual ID. UPPERCASE prefix + digits required for auto-detection.
  • [[mymd1]] - anything else (lowercase, names with spaces, file names like notes.md) is treated as a resource name. Clicking it opens the resources page with that resource scrolled into view and previewed.
  • [[task:foo123]] / [[resource:KPL123]] - explicit prefixes if the default heuristic would route the wrong way.
  • Cmd/Ctrl-click any wiki-link to open it in a new tab - standard browser behaviour.

Task History

Every change to a task is tracked: status changes, title edits, priority updates, reassignments, deadline changes, notes, links and more. View it from the history section of the task page or side panel. Each entry reads as a plain sentence, such as "Sam changed the status from Open to Doing" or "assigned the task to Alex", with names and dates instead of internal codes, and says when it happened.

Quick Actions Panel

Press Cmd/Ctrl+P to look at things without leaving the page: what is planned for Today, upcoming Meetings, Tasks from any project, open Questions and Resources. Use the up and down arrows to switch views, and type to search.

The panel opens filtered to the project you are in, shown as a pill in the search box. Press Backspace with the cursor at the start of the box to remove that filter and keep what you typed. Esc closes it.

Pinned items

Pin up to two tasks, two meetings and two resources to a small floating widget that follows you across pages. Drag it anywhere; it snaps to the nearest edge. Click a pinned item to preview it right where you are: tasks open in the side panel, meetings and resources in their own window, and the widget folds away. It also folds away when you click outside it. Turn the widget and the pin buttons off in Settings → Display.

Integrations

Jira: connected per project from the project's settings, so different projects can use different Atlassian sites. Link tasks to Jira issues and map Jira statuses to Karea ones. Disconnecting keeps the links.

Calendar: import Google Calendar or Outlook events as meetings (see Meetings).

Fathom: pull a recording's transcript into a meeting, or save it as a resource.

All of these live in Settings → Integrations.

Productivity Pulse

A floating widget that shows your productivity score (0-100). It is mostly based on tasks completed today compared with your daily average, plus credit for work in progress, notes, check-ins, answered questions and new tasks, minus overdue tasks. Click it to see detailed stats: tasks done today, this week, daily average, and your streak.

Hourly check-ins: Opt in via Settings > Display. Every hour, a prompt asks how you're doing (Focused / Okay / Distracted). Check-in dots appear in the expanded widget.

Break timer: If you report feeling distracted and choose to take a break, a 5-minute countdown starts. When it ends, a chime notification sound plays to let you know it's time to get back. Enable the break sound in Settings > Display.

Toggle the entire widget and individual features in Settings → Display.

Unclutter

The Unclutter page uses AI to identify tasks that may need attention: stale tasks with no recent activity, overdue tasks, and workload overload candidates. It suggests actions like closing, moving to backlog, or rescheduling. Access it from the sidebar.

Project & Category Archiving

Projects can be archived instead of deleted - they disappear from the sidebar but can be restored at any time. Archive from the project header menu. Categories within projects can also be archived independently. Projects support custom colors and emoji icons, and can be reordered by dragging in the sidebar.

Bug Reports & Feedback

Click the bug report button in the bottom-right corner to submit bugs, feature requests, or general feedback. Reports are reviewed by the team. You can choose the type (bug, feature, or feedback) and provide a description.

Import & Export

The Import/Export page lets you import tasks from CSV or JSON and export your data. Access it from the sidebar. You can also export via the REST API (GET /api/tasks/export) and the GDPR full-data export (GET /api/account/export).

Everything in Pro, plus unlimited projects and markdown docs, recurring tasks, files up to 100MB (150MB total) and unlimited text files

The REST API and MCP work on every plan.

Manage your subscription in Settings → Billing. Cancellation takes effect at the end of the billing period.
